: Remove Old Messages from Mail Server

While Acuity's mail servers are state-of-the-art, no server has unlimited storage capacity. Thus, it is part of the terms of your Acuity e-mail service that your Outlook mail program must be set to download your mail each time Outlook checks for new messages.

The process of setting up your Outlook program to do this is outlined below.

IMPORTANT NOTE: Acuity reserves the right to delete any previously-downloaded mail left on the server after 14 calendar days.

We appreciate and understand that some of our customers use our AcuWebMail [browser-based remote mail access] service while traveling, and thus may wish to have access to their recently-downloaded messages [in addition, of course, to any new messages] while they are away; hence the 14-day "grace period." Please note that this 14-day period only applies to previously-downloaded mail; that is, mail you probably downloaded and viewed at your office before you left on your trip. Any new mail that comes to you and has not yet been downloaded to your personal computer is exempt from the 14-day rule. If you will be traveling for a longer period, please contact us to make special arrangements.

Windows PC (Outlook)

  1. Open Outlook
  2. Click on Tools, then select Email Accounts.
  3. Choose View or change existing email accounts and click Next.

  4. Choose your account from the list, and click on Edit (or Change).
  5. Click on the More Settings button in the bottom right.

  6. Click the Advanced tab in the new window.
  7. Uncheck Leave messages on server.

Mac OS X 10.3 (Outlook)

  1. Open Mail
  2. Go to Mail---->Preferences
  3. Click the Accounts icon
  4. Click the Advanced button
  5. Check the box that says Remove copy from server after retrieving a message: and choose Right Away from the dropdown menu.
  6. Close the Preferences window.

Mac OS 9 (Outlook Express)

  1. Open Outlook Express
  2. Go to Tools---->Accounts
  3. Click the Mail tab in the new window.
  4. Click on your account in the list and then click the Edit button at the top
  5. In the new window, click the Options tab.
  6. Uncheck the box that says Leave a copy of each message on the server
  7. Click Ok.
  8. Close the Accounts window.
